The Swing Dance Society had their original first-aid provider drop out a few days before a multi-day national event. Their venue and committee both expected documented medical cover, including a written healthcare plan and a post-event report - not just "a first aider on the door".
What we did
- Triaged the brief over a 30-minute call: site, attendance shape, ground conditions, demographics, alcohol risk, and access for emergency services.
- Issued a fixed-price quote the same day with the proposed staffing model.
- Produced a written event healthcare plan covering deployment, treatment area, comms, and escalation to the local ambulance service.
- Delivered cover across the weekend with the agreed responder team.
- Wrote up a clear post-event report for the committee’s records.
What changed
- The Society could go ahead with the event with full documented cover.
- The committee had a paper trail that satisfied their venue and insurer.
- They’ve now made LightMed their default provider for future events.
