What the client needed
A multi-day summer event needs more than a kit on a shelf. The organiser wanted someone on-site for the full week, planning ahead with the team and ready to look after participants and staff if anything happened.
What we did
- Pre-event planning sessions to walk through site layout, daily activity risk and welfare arrangements.
- Documented event medical plan including communication with site staff and escalation to NHS services.
- Single named first aider on-site for the whole week.
- Day-by-day check-ins with the lead organiser.
What changed
- The team had one calm, named person to go to all week.
- Several minor presentations were managed on-site without disrupting the programme or escalating to NHS.
- The organiser had documented cover for their insurer and trustees.
